0280 Low temperature freezer

Summary

This SOP contain instructions on how to perform maintenance of the low temperature freezers and KI Biobank. All SOPs at KI Biobank are written in Swedish and have been translated for publication at MolMeth and may contain inaccuracies.

Purpose

To describe how to perform maintenance of the low temperature freezers at KI Biobank.

Scope

The instruction includes all low temperature freezers at KI Biobank.

Responsibility

  • The staff of the laboratory at KI Biobank are responsible for following this instruction.
  • Utfärdande Biomedicinska analytiker are responsible for updating this instruction.

Reference document

Manual from ab ninolab, Operating and Maintenance Manual 7030902.

Instruction for Panasonic-freezer KM-DU73Y1/KM-DU53Y1.

Instruction 0293 Larm och Beredskap.

Maintenance low temperature freezers

Documentation

All maintenance should be logged in the Log-sheet for low temperature freezers.  Service and all events should be documented in an Event-log (Händelselogg).

Weekly

Freezers that are used daily are to be maintained every week.  The Biobank freezers located on level 3 are to be maintained when needed, but at least every third week.

Cleaning the gasket

Check for frost and ice, and if found remove with a brush. Sharp items shall not be used as they can damage the gasket.

Cleaning the inner doors

The doors should be brushed to remove ice and ice inside the valve should be removed with a scrape.

Defrosting vacuum valve, older model

The vacuum valve is placed in the top of the freezer, in the front right corner (see Figure 1, p. 4). Remove frost and ice with a brush, both from the inside and outside. If there is a lot of ice, a complete defrosting is needed – see Defrosting below.

Defrosting air valve, Panasonic freezer

On the left side of the freezer there is an air valve, which might need defrosting. Use the adequate tool, hanging on the valve with the shape of a triangle.

Every sixth month

Testing the freezer alarms

Every sixth month the alarm on the freezer should be tested, following the instruction 0293 Larm och Beredskap.

Once per year

Cleaning the condenser

  1. Open the front shutter under the door. Grab the left side of the shutter and pull straight out. Use a vacuum cleaner with a soft brush to clean the metal lamina of the condenser (see Figure 1, p. 4).

Cleaning the filter

  1. Open the front door under the door, grab the left side of the door, and pull straight out.
  2. The filter is on the inside of the door (see Figure 1, p.4). Take out the filter by pulling it from the middle out of its container.
  3. Clean the filter with water and detergent, rinse, and dry the filter. Put the filter back in its container.

Defrosting (when needed)

  1. Shut the alarm off for the specific freezer on the alarm computer on level 4. Transfer all the material to a back-up freezer.
  2. Shut off the freezer using the switch on the back of the freezer and pull out the power cable. Open the front door under the door and put the switch to the battery to 0 (see figure 1).
  3. Open all inner doors and put towels in the bottom of the freezer. Let ice and frost melt, then wipe dry.
  4. If needed clean/disinfect the inside of the freezer with disinfectant/detergent free from chloride.
  5. Connect the cable to the power plug, start the freezer using the main switch, and turn on the power to the battery. Control that the temperature is stabile before putting back all material in the freezer.

Moving freezers

When a freezer is moved this should be logged in the Event-logg and the temperature should be logged in the new place. The new alarm-id should be documented in Kopplingstabell Frys – Larmuttag, this document is found P:.

Alarm

Measure to be taken if alarm goes off

If the alarm goes off, log the actual temperature in the Event-log. Find out what is causing the alarm and fix it if possible. Look in the manufacturer’s manual. If the problem cannot be fixed, all material should be moved to a back-up freezer until the problem is solved – see 0293 Larm och Beredskap.

Reminder of clening the gasket

The freezer has an alarm ”Clean gasket” that goes off every three months. Shut off the alarm by pressing ”Silence”.

Reminder of cleaning the filter

The freezer has an alarm ”Clean filter” that goes off every three months. Shut off the alarm by pressing ”Silence”.
